Some of the issues we have helped people with include anxiety, depression, feelings of emptiness and low self-worth, neglect, trauma, loss, problems with relationships. Foteini has also supported people with issues of co-dependence and symbiosis, and has had a lot of experience supporting people who are fraternal or identical twins.Our Terms of ServiceThis policy aims to address the most likely eventualities that might arise by the use of online technology and our online work together, as well as addressing privacy and data protection. The following terms are subject to development and change, so we ask all our clients to familiarise themselves with the following before we start working together.SessionsAll sessions are held weekly unless otherwise agreed, via the encrypted platforms Zoom and/or Whereby, and last 50 minutes. Although we try to ensure to the best of our ability that we use a safe and confidential platform for our work, please bear in mind that nothing in the internet is 100% safe.Sessions are private and individual, so we encourage you to be alone in a safe, secure and private space. If for whatever reason, your privacy may be compromised, please let us know straight away. If we encounter any technical difficulties, we will contact you another way, usually via text. In the interest of confidentiality, we will not be recording our sessions and we kindly request that you do likewise.EmergenciesThe service Humanthropy provides is not an emergency service, so we won’t be able to respond to you in an emergency. Should you experience an emergency, please contact the most appropriate emergency services.Email communicationPlease note that we are not currently using any email encryption program, so any emails we send to each other may be vulnerable to viruses or human error. For this reason it might be best to be thoughtful about what you include in your email to us, and which email address you choose to use with us. It might also be best to use email for non-confidential communications such as setting up appointments or letting us know you are running late for the session.Also please be aware that all emails are retained in the logs of Internet Service providers. They can be vulnerable to viruses and unintentional forwarding or replication. Any emails we receive from you and any responses we send back to you become part of your legal record.We check our emails only during the weekdays and we endeavour to respond to all emails within one working day. If we are on annual leave you will receive an automated response. Emails should never be used in an emergency, and in that case you should contact your nearest emergency services.Electronic invoicingWe use Stripe (stripe.com), an online payment processing platform, to process our invoices that are then sent out to your chosen email address and contain a link for payment via debit or credit card.Cancellation policyIf you forget, cancel or take vacations outside the breaks we take at Christmas, Easter and summer you will still need to pay for your time slot because we will be holding and safeguarding your regular coaching session on a weekly basis.If you give advanced notice about a proposed cancellation then we will endeavour to offer you an alternative appointment date and time in the same week, if at all possible. If we are unable to do so, or the alternative dates and times that we offer do not work for you, then you will be charged the full fee for the missed session.Ending sessionsWe generally suggest a review in the 6th session for us to evaluate together what is helpful and what else we might need to explore to support you further.Once we have gone past the 6th session and agree for a more open-ended coaching agreement, then, when you feel that the time is right for you to end our work together, we would ask you to agree to have 6 sessions as an ending process to evaluate our journey together and to think about transferring your learning forward from our work, to support you in the coming months.ConfidentialityWe keep short written notes which are stored securely. There are a few instances where we would need to extend your confidentiality, and these will be discussed with you in the initial meeting.General data protection regulationYou have a right to know what information we keep about you. The notes we keep from our sessions together are hand written, and are not kept alongside any information that identifies you. Our written notes are stored in a lockbox or as encrypted digital documents. Our notes are not shared with anyone other than anonymously within a confidential supervision context. Under rare circumstances, notes can be subpoenaed in a court of law. Because of this, we keep our note-taking to a minimum. We will keep your notes for the period we are obliged by our ethical governing bodies and professional insurance, namely 7 years after our last session. After that period the notes are destroyed.You have the right to request any information we keep about you. As these notes are hand written and for our own professional use only, we would advise that we discuss together your reasons for requesting them. After this conversation, should you request a written copy, we would require time to type them up and you can have them within one calendar month.We also keep your contact information, including email, phone number, address and Primary Care Doctor details in our digital contacts, so that we can contact you if necessary. These contacts might be vulnerable to hacking. If you prefer us to keep your details in a locked file, please do let us know as soon as possible.Emails may also be vulnerable to hacking or mis-sending by human error. If you would prefer not to communicate by email, please let us know as soon as possible. For this reason, we would suggest to use email communication only for logistical purposes (e.g. changing an appointment). We use Stripe for invoicing, which uses emails to invoice every session. Should your email be compromised, these invoices would show that you are having sessions with us.You have the right to have the information we hold about you erased. If you would like us to delete your information, please let us know. However, for the reasons mentioned above, we will need to retain your notes for a required period of time, after which they will be deleted. In general, we only hold the minimum data needed to comply with insurance and governing regulatory bodies, and we regularly audit and clear such data.Changes to the above TermsHumanthropy reserves the right to update, change, or revise these Terms at any time without notice.
